This class works under close to general supervision according to set procedures but determines how or when to complete tasks.
Essential Functions ESSENTIAL FUNCTIONS The essential functions listed below are those that represent the majority of the time spent working in this class.
Management may assign additional functions related to the type of work of the class as necessary.
Answers primary phone for department; greets visitors and provides customer service assistance.
Assist in compiling records in response to public records or audit requests Track and review for accuracy various documents and forms related to personnel actions Completes Employment Verifications for current and previous employees.
Provides general information regarding City and department policies, programs and procedures, and refers inquiries to other human resources staff as appropriate.
Receives and distributes documents received by mail, facsimile and prepare/distribute outgoing mail.
Completes reports, surveys and projects as assigned Gather, compile and process documents required to create purchase requisitions for contracts and incoming invoices and submit to Accounts Payable as is required.
Reviews for accuracy.
Creates employee personnel and benefit file folders for new hires, and is responsible for filing documents on a weekly basis.
Assists in coordinating City-wide training and events.
Responsible for organization, storage and retention of active and terminated employee files; pulls termination reports on monthly basis, removes applicable files and prepare for storage.
Works with City Clerk's office to ensure human resources records are processed in compliance with applicable public records standards.
Makes copies, scan and fax documents and performs other clerical duties as directed Receives and responds to routine external correspondence following established department procedures (employment reference checks, income and employment verifications) Schedule participants into training sessions; track participants and training records.
Determines need of office supplies, equipment, and materials.
Replaces or purchases new office supplies and equipment as needed.
Perform specialized administrative duties required to support the department, using discretion to make judgments based on operating guidelines.
Assists with special projects for the HR Director and Assistant Director as needed.
Other duties, responsibilities, and activities may change or be assigned at any time with or without notice.
Typical Qualifications MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS:
Two (2) years of administrative support experience, preferably in a human resources office, or an equivalent combination of education, training and experience.
Must possess and maintain a valid state driver's license with an acceptable driving history.
Prior work experience working in fast-paced, high-volume of paperwork environment in a large organization with a minimum of 200 employees required.
Attention to details, accuracy, promptness and the ability to handle multiple human resources duties.
Must be customer service oriented, a team-player and accustomed to helping HR counterparts when necessary to meet the various goals and deadlines of the department, which may (or may not), be directly related to day-to-day assignments.
Knowledge, Skills and Abilities, Work Environment and Work Hours KNOWLEDGE, SKILLS AND ABILITIES:
Advanced knowledge of Microsoft Office products (Word, Outlook, PowerPoint, and Excel) Ability to create Excel documents, including compiling, manipulating and merging data Ability to create PDF documents from various file formats.
Competency in manipulating and editing existing PDF documents Knowledge of office practices and procedures Skill in dealing tactfully and professionally with City employees and external customers, including those distraught, discourteous or irritated Ability to multi-task and meet deadlines, while shifting priorities as needed.
Ability to maintain high level of confidentiality of human resources information Ability to interface courteously and cooperatively with employees and general public Ability to organize, prioritize work and meet deadlines Ability to regularly attend work and arrive punctuality for designated work schedule Ability to understand, follow, and coordinate written and oral instructions.
Ability to clearly communicate information both verbally and in writing.
PHYSICAL DEMANDS:
Physical demands refer to the requirements for physical exertion and coordination of limb and body movement.
Performs sedentary work that involves walking or standing some of the time and involves exerting up to 10 pounds of force on a regular and recurring basis or sustained keyboard operations.
WORK ENVIRONMENT:
Unavoidable hazards refer to the job conditions that may lead to injury or health hazards even though precautions have been taken.

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
